CRM Core System for Multi-Unit Processing Plants

The Situation

The client ran a historic processing plant plus a modern commercial hub on top of spreadsheets and ad-hoc databases. Customer data, orders, and production logs all lived in different files and tools. Each regulatory change increased the risk of mistakes; each growth step made reporting slower and more fragile.

Downtime was not an option. Any upgrade had to happen underneath live operations, with zero impact on daily production or billing.

Our Approach

We rebuilt the data layer underneath live plant and commerce operations — consolidating fragmented files into one relational core, automating compliance, and validating every migration step before switching traffic.

Centralized Data Core

We designed a single relational database that ties together customer history, production and batch logs, and orders, shipments, and billing. Teams across operations, finance, and management can now query one source of truth instead of hunting through local files.

Automated Regulatory Ledgers

We implemented a rules engine that maps transactions to the right tax and reporting categories and keeps up with local regulatory changes. Exceptions are flagged automatically, so compliance teams work on real issues instead of re-checking every line.

Live, Load-Validated Migration

We mirrored historical data and peak-season volumes in a test environment, then migrated in phases while the plant stayed fully online. Query performance and data integrity were validated at each step before switching traffic.

The Results

• Compliance review cycle collapsed: The former 5-day manual review window was replaced by continuous automated classification. Transactions are audit-ready as soon as they hit the system.
